Summary: 

Counterpart International is currently seeking an Office Manager for the Civil Society strengthening Program-CSSP. This is a full time position based in Rabat-Morocco. This position will report to Director of Finance and Administration (DoFA).

The Office Manager is responsible for organizing all of the administrative activities that facilitate the smooth running of the CSSP office and logistic aspects of the Program activities. He/she must make sure that relevant records are up to date, all administration processes work effectively and that office equipment is maintained.

Duties and Responsibilities:

  1. Project Management and logistics:
  • Responsible for logistics of all program events (seminars, trainings, workshops…) and other program activities
  • Arranging travel and accommodations for CSSP staff
  • Launch calls for tenders related to procurement in accordance with USAID and Counterpart procurement guidelines & policies and
  • Draft Memorandums of vendors selection
  • Draft Vendors Contracts, Purchase Orders, Indefinite Quantity Contracts, Independent Consultant Agreements
  • Manage contracts and relationships with vendors, service providers and follow up all orders and requests
  • Review and check all vendors support documents for financial payments
  • Maintain and updated office management filling documents and folders related to procurement
  • Anticipate needed supplies
  • Update the inventory of the project
  • Promote workplace safety
  • Ensure the functioning of the office equipment and their regular maintenance
  • Responsible of the Petty cash
  • Process and record cash financial transactions during the day in Excel spreadsheet.  Make sure that Excel ledger is updated
  • Prepare monthly Petty Cash Reconciliation of Cash count to finance
  • Ensure the proper security of cash in the safe
  • Manage the use of program vehicles/drivers and manage the travel planning for the team
  • Support DoFA to maintain office policies as necessary
  1. Human Resources:
  • Prepare notices and advertisements for vacant staff positions
  • Schedule and organize interviews
  • Maintain and update staff personal files
  • Ensure protection and security of personal files and records
  • Make sure that timesheets are available and completed correctly
  • Monitor staff daily attendance
  • Investigate and understand causes for staff absences
  • Monitor schedule absences such as holidays, vacation leave or travel
  • Requirements
  • University Degree in Business Administration, Management or similar qualification (Bac + 4 minimum)
  • Minimum 5 years of professional experience within International Organizations
  • Language: Level IV (fluent) in French, Arabic and English
  • Proficiency in MS Office
  • Excellent time management skills and ability to multi-task and prioritize work
